The deep and delicate art of ECM

Over the last 20 years, widely disparate business demands for content management, the stubborn resistance of antiquated practices, widely different methods of handling content, technology growing pains, the slow maturation of standards, the whims of investment Paper and Laptophype as money flits from document management to Web content management to Web 2.0, and conflicting definitions of what content management is, have led us to a rocky, complicated and still wildly dynamic vendor landscape. No matter how loudly the vendors tout the notion of a unified ECM system, no matter how many vendors consume each other, the ECM market has defied complete consolidation. Having covered the market for eight years, I’ve kept a simple list of every content management-related vendor that has crossed my desk, noting when they emerge, when they’re acquired or when they disappear. Xerox Makes Student Registration at Pennsylvania School District as Easy as ABCs

BOSTON, 04 March 2008 -- When the Wilkes-Barre School District in Pennsylvania decided to do something about its antiquated and arduous student enrollment process, it turned to Xerox Corporation (NYSE: XRX) and a key Xerox partner, SRC Solutions Inc. The companies created a digital enrollment system that combines Xerox advanced multifunction systems (MFPs), a customized scanning solution from SRC, and Xerox's DocuShareTM document management software. The system, which automates and digitizes much of the old manual process, will enable the 7,000-student district to reduce the registration process from two weeks per child to just 30 minutes. In addition to saving the district invaluable time, errors will be reduced and management and archiving dramatically improved.The solution relies on Xerox's Extensible Interface PlatformTM (EIP) technology, which is built into many of the company's MFPs. Based on Web standards, EIP allows independent software vendors and developers to create applications for MFPs, such as scan-to-email, that make it easier to move hard-copy documents into digital files. In addition, EIP lets developers customize the MFPs' touch screens for use by specific individuals or workgroups. SRC Solutions' EZ School Registration application leverages EIP to provide school administrators an intuitive way to scan, index and validate student records. For the Wilkes-Barre solution, SRC also integrated EZ School Registration with Xerox's DocuShare CPX enterprise content management software. To round out the solution, SRC integrated Streem Communications L.L.C.'s Fax and Alert Notification applications. With the new solution, which will be rolled out over the next six months, student forms will be scanned in directly at Xerox MFPs located in all Wilkes-Barre schools, and routed - automatically from the devices - to their proper locations in the school district's Xerox DocuShare system. Afterward, administrators will be able to access those records directly from the touch screen of a Xerox EIP-enabled device. When a student is selected, an image of the child will be displayed directly on the MFP screen, along with the student's record and a list of required and outstanding registration documents. To input documents, school personnel will simply select the document they're ready to file, such as a birth certificate, and scan it directly into the student's record. "The EZ School Registration solution will change the way we do business as a school district and put our resources where we need them - shaping the minds of students," said Charolette Kordek, director of information management, Wilkes-Barre School District. "Xerox's EIP platform delivers on the promise of technology by taking advantage of the network and hardware we are investing in to create a simplified workflow that allows us to work easier, faster and better." Previously, all records for the 7,000-student district were copied, placed in hard copy folders and physically transferred from department to department and school to school for filing. This took energy and time away from school administrators and parents, as well as occupying precious district storage space. Xerox unveiled the first software solutions and a new developers program for EIP one year ago at the AIIM/On Demand 2007. Since then the company has received nearly 1,000 applications to download the development kit. In addition, there are now more than 19 EIP-enabled software solutions available worldwide, and EIP is now available on 21 Xerox office MFPs. "The enthusiastic response of developers, system integrators and end users tells us that EIP is meeting a critical need for solutions that take the complexity out of day-to-day office processes," said Roger Ellefson, manager of Solutions Marketing, Xerox Office Group. "EIP is just one way that Xerox is making work easier for customers and helping to reduce the time and money spent handling documents." System integrators and developers like SRC Solutions are using EIP to do far more than sell a printer or piece of software. They can leverage the functionality of the multifunction device to quickly meet their customers' needs with business process solutions. Enterprise Content Management, by definition, is the ability to gather, organize, and distribute corporate information, regardless of its original format. The ECM industry is rapidly becoming the most highly sought after service for 'Corporate America'. Having said that, let's first understand that ECM has no ‘vertical' market. Simply stated, this means that there is no one type of business served better than any other. ECM can help a medical facility handle its knowledge base just as quickly and efficiently as it can help an attorney's office manage their legal documents.

More Color Print Volume Means More Business, Profit for Xerox iGen3 Digital Production Press Customers

BOSTON, 03 March 2008 -- With 126 Xerox Corporation (NYSE: XRX) customers worldwide now printing 1 million or more pages per month per machine on their iGen3™ Digital Production Presses, Xerox continues to help customers boost their sales in the lucrative digital color printing market, where more pages mean more profit. One customer has even eclipsed 3 million pages in a single month on a single iGen3 press. The average monthly print volume on the Xerox iGen3 press is now 500,000 pages. Building on this success, Xerox is launching new features for the iGen3 press that provide even greater image quality and productivity.Since its launch in 2002, the Xerox iGen3 press - which runs at 90 or 110 pages per minute - has helped businesses large and small create a wide-variety of applications and generate profitable color pages. Xerox continues to be the leader in color page volume with color pages growing more than 30 percent from 2006 to 2007."The iGen3 press is a key factor contributing to the redefinition of the digital production color market. Digital success with iGen3 presses Mercury Print Productions, a commercial print and media solutions provider, operates six iGen3 presses at its facilities in Rochester, N.Y. The company's first two iGen3 presses have produced a total of 120 million pages since they were installed less than five years ago. Three of the company's iGen3 presses are equipped with Lasermax Roll Systems and Xerox FreeFlow™ Application Series Software for Teacher's Edition textbooks, a book solution that provides a cost-effective way of printing state- and region-specific textbooks. Xerox Drives Efficiencies in the Document-Intensive Healthcare Industry

By streamlining document-driven business processes, healthcare providers are achieving cost savings, ensuring regulatory compliance and realizing productivity gains. A leading provider of freestanding ambulatory surgery centers, Physicians Endoscopy uses Xerox DocuShareTM to help automate workflows and business processes around its billing and financial documents. Xerox Board Declares Dividend on Common Stock

Multifunction Printers: The Forgotten Security Risk

"That networked multifunction printer sitting innocently in the corner of your office just might be the most significant entry point for hackers to hijack sensitive data from your business," warns an eWeek article today. "All the information that's being printed, scanned and faxed is susceptible to theft. Once under an attacker's control, it is simple to covertly save copies of other people's data on the machine's hard drive. With built-in network, fax/modem and network capabilities, there are a variety of ways to smuggle the stolen information out of an organization once it's been captured.” Although this article was released today, the studies it mentions are from nearly two years ago. Multi-function systems have made significant advancements in that period of time. Not to mention, the skill of authorized technicians that support these products. Sure, there are still risks, but those risks aren't any more significant than a computer or server sitting on your network. With the proper firewalls and security measures in place, you can secure your multi-function systems just like you can secure your desktop computers. But, the fact is, most companies aren't overly concerned about the security of a printed document. Most documents that we print aren't sensitive.
