Data Capture software uses Optical Character Recognition (OCR) technology to translate scanned text into editable text. When the document is scanned using a multifunction system, it is routed to a folder where it is processed. continue reading...

Increase Productivity with Multifunction Devices

There is no doubt most offices have taken advantage of the benefits of wireless internet. Without having to deal with cumbersome cables, employees are able to conduct their work throughout the office, increasing collaboration. Now you can increase the productivity of your business even more with multifunction devices with Wi-Fi connectivity. A wireless device allows documents to be printed from portable laptops, digital cameras or other devices within range.iStock_000001042987Cropped

Through the use of a built-in Wireless Network Interface Card (WNIC), printers are now more mobile and versatile than ever. By replacing the standard USB connection, you allow for minimal cabling to connect the device to electricity. Not only does this provide mobile printing, but it also makes reallocating your devices quick and easy.

Wireless multifunction devices still have all the features of a standard device and also reduce clutter and dangerous cables in offices. With access to a central printer connected to a Wi-Fi hub, hundreds of employees will have printing capabilities without having to share cables.

When it comes to designing and customizing the layout of workspaces, wireless devices offer expanded flexibility. Most wireless multifunction systems can work within a radius of about 150 feet. continue reading...

Baptist St. Anthony’s Health System Generates Major Savings from Document Management Improvements.

in

Capture The Challenge
Baptist St. Anthony’s Health System—a VHA member—is an award-winning healthcare organization based in Amarillo, Texas. The organization—which includes a 475-bed acute care hospital and 16 locations—prides itself on patient satisfaction and high quality care.

A few years ago, following a series of mergers, they decided to take action to streamline and improve their enterprise-wide approach to document management and production.

At the time, Baptist St. Anthony’s relied on a sprawling infrastructure of copiers, printers and fax machines provided by many different manufacturers. As a result, it was diffi cult to arrange for service and supplies. In fact, it sometimes took weeks to get malfunctioning equipment running.

It was hard to control costs, too, because there was no centralized system for tracking paper and supply volumes and changes in usage trends.

They also operated several in-house print shops with overlapping capabilities. Baptist St. Anthony’s wanted to consolidate their operations into a world-class printing operation that would dramatically reduce the need for expensive outside printing.

In addition, Baptist St. Anthony’s wanted to make dramatic improvements in their paper-intensive and forms-based business processes, eliminate unnecessary document inventories, and build a strong foundation for an Electronic Medical Records (EMR) system that would improve productivity and HIPAA compliance. continue reading...

Ten Things to Know About Data Security

The intellectual property of your business is vital to its continuing success. Therefore, it is important to ensure confidential documents are not susceptible to security breaches. Whether it is a computer virus or a disgruntled former employee, you need to ensure your information is safe from unauthorized viewers. Luckily, with document management systems, it is easy to integrate advanced security features into your current workflows. Electronic Document Management can help protect your documents and increase productivity. If you are unsure if a document management system is right for your business, here are ten things you should know about document security: Binary code

1. Document management seeks to prevent data loss from the various kinds of threats to data. Unless a systematic approach is adopted for document security your business could be shut down by a breach of security.

2. Very few businesses can survive a complete loss of business data. Even partial losses can prove extremely serious, especially to smaller businesses. Consider what would happen if you lost all your customer data and invoice records from a computer virus. It can render you unable to recover your fees from credit customers that can equal a few months of sales. Or consider the secret product formula that gives you an edge in the market being stolen.

3. Document security starts with an intricate look at all the risks documents face and the impact of each. A clear view can make upper management aware of the real dangers that can easily occur, and as a result they are more likely to support security-enhancement measures.

4. One of the primary security measures is preventing unauthorized access to documents. Only authorized persons should be able to access each type of data. Access restrictions should be placed both on classes of data and levels of employees and can be integrated easily with the access controls on your multifunction device. continue reading...

in

Sometimes, you need a little help from a friend. Xerox Corporation unveiled  a new software tool for its ColorQube 9200 Series multifunction printers (MFP) that prompts office workers on ways to save money and print greener.

The Web-based software called Xerox Print Advisor uses on-screen prompts to alert users to simple actions they can take to print smarter. For example, if a user chooses to print a multiple page document on one side only, an on-screen message appears recommending two-sided printing.

Free to ColorQube 9200 Series customers, Print Advisor also collects data on all print jobs, such as how many pages each user prints daily, providing valuable information to the IT department. A variety of detailed reports help office workers and IT administrators make more informed and responsible print decisions.

For IT managers looking for enterprise-wide reports and usage data, Xerox Print Advisor Premium will be available for a fee. Use Color for Impactful Proposals

A study conducted by the University of Minnesota found that the use of graphics increased the persuasiveness of a message by 47%. This is due to the fact that color iStock_000000409990Small graphics help people learn faster and then retain what they learned. Therefore, it is a very logical step to send out proposals and marketing materials in color.

When using color, it is crucial to use it effectively. If the graphics are related to your message then it will actually become more of a distraction than a teaching aid.

Here are some ideas to consider when creating a color proposal:

Include the Client’s Logo. By adding the customer’s logo, the proposal will automatically feel more personalized and custom. However, make sure your logo is not sized larger than the client's logo.

Incorporate the Client's Colors. By replicating the client’s colors throughout the proposal, you can easily create a sense of familiarity. As the client looks at the proposal it will feel very comfortable.

Use High Quality Graphics. When adding photos or clipart be careful not to stretch or skew the image. You don’t want the graphics to come out pixelated or blurry. continue reading...

• How quickly can consumables be replenished?
• How many users can share the printer before print times become unacceptably long?
• How well does the driver software integrate the printer into the user’s workflow?
• If the printer is shared among groups, can it account for usage? continue reading...
